What we collect
When you submit an enquiry form we collect your name, email address, and optionally your telephone number, country and any details you choose to tell us about your book. When you browse the site we collect standard technical data — IP address, browser type, pages visited — and, if you have consented to analytics cookies, aggregated usage statistics.
Our site determines your approximate country from your IP address in order to display prices in your local currency and offer the site in your language. This lookup is performed by a third-party geolocation service and returns only a country, and optionally a city. We do not store your IP address for this purpose, and the resulting country code is kept in your own browser's local storage, not on our servers.
Why we use it and our lawful basis
- To respond to your enquiry and provide a quote — necessary for taking steps at your request prior to entering a contract.
- To deliver services you have commissioned — performance of a contract.
- To send occasional guidance relevant to your project — consent, which you may withdraw at any time.
- To maintain, secure and improve this website — our legitimate interests in operating our business.
- To meet accounting and legal obligations — compliance with a legal obligation.
Who we share it with
We share your data only with service providers who process it on our behalf: our email provider, our form handler, our accounting software and — where you commission work — the specific writer, editor or designer assigned to your project, each of whom is individually bound by a confidentiality agreement. We do not sell personal data, and we do not share it with advertisers.
Manuscripts and confidential material
Material you send us about your book is treated as confidential. A mutual non-disclosure agreement is signed before we review substantive material. Manuscripts are stored in access-controlled systems and are shared only with the team members working on your project. On request, and after any retention obligations have expired, we will delete your manuscript files.
How long we keep it
Enquiries that do not become projects are deleted after 24 months. Client records are kept for seven years after the final invoice, as required for UK accounting purposes. Marketing consent records are kept until you withdraw consent, plus two years.
International transfers
Some of our service providers are located outside the UK and the EEA. Where data is transferred, we rely on UK International Data Transfer Agreements, EU Standard Contractual Clauses, or adequacy decisions, as applicable.
Your rights
Under the UK GDPR and, where applicable, the EU GDPR, you have the right to access your data, to have inaccurate data corrected, to have data erased, to restrict or object to processing, to data portability, and to withdraw consent at any time. To exercise any of these, email info@arkediapublishers.co.uk. We respond within one month.
If you are unhappy with how we have handled your data you may complain to the UK Information Commissioner's Office at ico.org.uk, or to your local supervisory authority if you are in the EU.
Cookies
We use a small number of strictly necessary cookies and browser storage entries to remember your language and currency preference. Analytics cookies are set only with your consent. You can clear these at any time through your browser settings.
